Choose which account sends your customer email
Connect Gmail, Outlook, Mailgun, Mailjet or your own mail server, and pick the one default account that sends invoices, estimates and reminders. Ormi email is used until you choose.

Connected and Default are different things
You can connect several accounts at once. Connected means Ormi can send through it. Default means it is the one that actually sends your customer email. There is always exactly one default, and it starts as Ormi email.
Connecting an account never changes your default. Switching the default never disconnects anything.
Connect an account
- Open Apps, then Customer email (or the Gmail, Outlook, Mailgun, Mailjet or Custom SMTP card). You can also press Ctrl+K (or Cmd+K) and type "gmail" or "default email".
- Under Sending account, find the account and click Connect.
- Gmail and Outlook: click Continue to Google or Continue to Microsoft, choose the mailbox, and allow Ormi to send email for it. Ormi asks only to send, never to read your inbox.
- Mailgun, Mailjet or your own server: enter the details from that provider and save.
Change the default
- On a connected account, click Set as default.
- Read what changes, then confirm. From then on new invoices, estimates and reminders go out through that account.
Messages already handed to an email provider are not moved to the new account.
Who it is from, and where replies go
- Gmail and Outlook send as the connected mailbox, under your company name.
- Ormi email, Mailgun and Mailjet send from your own domain once you add it under Sending address and its DNS records (DKIM and SPF) are verified. Until then they send under your company name from Ormi's address.
- Replies go to your reply address if you turn on Capture replies in Ormi, and Ormi files them on the customer. Otherwise they go to the connected mailbox, or to your company email for Ormi email.
- Sending from Gmail or Outlook does not copy your inbox into Ormi.
When an account needs attention
If your default stops working (Google or Microsoft ended the connection, or a mail server refused its password), the Customer email screen says so and shows a Reconnect or Update details button. Until you fix it, Ormi sends from Ormi email so invoices still go out, and each message records which account carried it.
What if this fails?
- Gmail says "Awaiting Google review".
- Gmail sending is waiting on Google's review of Ormi. Your other accounts work as usual; Gmail becomes available without anything on your side.
- Set as default is missing on an account.
- Only an account that can send right now can be the default. Finish connecting it, or click Reconnect or Update details first. If you see no buttons at all, ask an admin: changing it needs permission to manage customer email.
- My Google Workspace or Microsoft 365 admin blocks the connection.
- Ask your admin to allow Ormi for your organization, then connect again.
Common questions
- Does disconnecting Gmail sign me out of Ormi or remove Google Drive?
- No. It removes only the permission to send email. Sign-in, Google Drive, Google Calendar and your past messages are untouched. If Gmail was your default, Ormi email becomes the default.
- Does "sent" mean the customer received it?
- It means the email provider accepted the message. Delivery to the inbox is up to the customer's email provider.
